Lotus Notes typically is migrated in two key phases: 1) Email first, and then 2) Custom Apps built in Lotus Notes/Domino.  “Email” really includes the all the personal productivity capabilities, including calendaring, contacts, tasks, SameTime, etc.  And “Apps” refers to all the custom applications built using Lotus Notes, which can number in the thousands for larger companies.  It can be difficult to know how many apps an organization has, which are unique, who uses them, and how critical are they.

Typically, existing Lotus Notes/Domino applications can be mapped at least roughly to four categories:

  1. LOB: Line of business applications, or packaged apps, may exist that can replace custom apps previously built in Lotus Notes (e.g., CRM)
  2. ECM: Lotus Notes has often been used to create various document / file repositories. These can sometimes be mapped into an existing content management system such as Microsoft SharePoint®.
  3. BPM: Not often, but sometimes Lotus Notes apps evolved to cover complex business processes, across multiple departments perhaps touching various other applications. Especially, if this process warrants monitoring and optimization, a powerful BPM tool may be used to rebuild these applications.
  4. RAD: Almost without fail, there will be a slew of remaining applications that will not fit into one of the prior three categories. Gartner uses “Pace Layering” to categorize enterprise applications.  LOB fit into their “Systems of Record” category, and BPM into their “Systems of Differentiation”.  However, any business looking to foster innovation must enable and encourage “Systems of Innovation” where businesses can create their own applications without delays due to IT resource bottlenecks.  Thus, the enabling IT organizations provide RAD solutions that leverage enterprise-grade open standards (like Java, Spring, Hibernate, Angular JS, Bootstrap).

Business factors will typically drive whether to co-exist existing Notes apps, migrate data and/or business logic, rebuild front-ends and if/how to sunset the apps.
